When you ship 50 or 100 orders a month, a missed pickup or a delayed cash-on-delivery (COD) payment is hard to absorb. Choosing a shipping partner starts with a few practical questions: can it collect from your address, reach your customers, and leave enough margin after delivery?

A serviceable destination tells you where a particular service can deliver. It does not automatically confirm pickup from your address, COD availability, or the delivery speed you want. Check those details for the parcel you plan to send.
Keep a simple record of the result:
Resolve anything that would stop the order from being collected, delivered, or paid for before dispatch. A prepaid-only business can leave COD out of its first test.
For an Instagram or WhatsApp seller, the work starts with getting a complete address and payment choice out of a conversation. A store owner may instead need orders to arrive from Shopify or WooCommerce.

Have your business details ready and check whether verification requires GST or bank information for your account. Before adding money, check the required balance, any setup or recurring fees, and the rules for unused funds. Then price a few of your usual parcels using their packed measurements and delivery PIN codes.
SF360 uses zone-based flat-rate pricing for eligible shipments. The rate can therefore differ between delivery zones. Use the current quote for your parcel, including the applicable taxes and service conditions.
Keep wallet funding separate from shipping expenses. If you add ₹1,000 to a wallet and use ₹300 for shipments, the recharge and the ₹300 deduction are not two separate shipping costs. The unused balance still matters to your cash flow.
For the test batch, add the charges actually incurred for delivery, packaging, and labels, plus any applicable COD, return, or other fees. Include any checking or repacking costs incurred when a parcel comes back. Reconcile adjustments and credits once the shipments are closed. Record stock tied up in transit separately from the charges paid to move it.
Cost per successful delivery = total shipping-related cost of the batch ÷ number of orders delivered.
For example, suppose you dispatch ten orders. Eight are delivered, and two are returned undelivered. If the batch's total shipping-related cost is ₹1,000, including the relevant return costs, the cost per delivered order is ₹125. This is an illustration, not an SF360 quote.
That calculation helps compare providers. To check your overall margin, you must also account for product costs, refunds, and other selling expenses.
Follow a COD order beyond delivery until the money collected from the customer reaches your account. Check the shipment's eligibility, the collection amount, and where you can see the settlement before offering it to a customer.
Shadowfax 360 offers D+2 COD remittance. In our D+2 COD remittance guide, D is the delivery date, and +2 means two business days after successful delivery. Banking timelines and settlement policies apply. Match the payment received to the delivered order and verify the amount credited to your account.
Also find out what happens when the buyer refuses delivery or cannot be reached. Return to origin (RTO) is the return of an undelivered parcel to the sender. A customer return happens after delivery and may follow a different process.

Even where a shipping offer includes RTO movement, a failed delivery can still leave you with packaging costs and stock tied up until it comes back. Check the applicable RTO and customer-return terms separately.

Save the support route and the shipment reference you will need for a query. For a missed pickup, be ready to provide the address, scheduled date, and booking details. For a billing issue, keep the quote, parcel measurements, and amount charged.
Choose a small set of normal orders that represents your usual destinations, parcel sizes, and payment methods. A batch of nearby prepaid orders will tell you little about distant COD deliveries.
For each shipment, record the quote and final charge, whether pickup happened as arranged, the delivery outcome, and any support needed. For COD orders, include the settlement. Wait for any RTOs and billing adjustments before judging the batch's cost.
Decide what you can accept based on your margin and the delivery promise you make to customers. If a destination or payment method does not work, keep another shipping option available for those orders.
